More time for advice, less for paperwork.
Accountants, lawyers, payroll consultants, engineering and architecture practices: a firm’s value is in its thinking, but the days slip away on documents, reminders and the same questions over and over. We started out alongside a professional firm, so we know this problem from the inside.
Where time goes
The most common bottlenecks.
Documents arriving from all directions
Email, WhatsApp, USB sticks, photos: every client sends documents their own way, and someone has to collect, rename and file them.
Deadlines and reminders by hand
Reminders to clients, missing documents, renewals: a game of catch-up that comes round every month.
The firm’s know-how lives in people’s heads
Procedures, guidance notes, cases already solved: to find them you have to ask the right colleague.
What can be done
Repetitive work that runs itself.
- 01A document portal for clients
A private area where clients upload the documents you’ve asked for, see what’s missing and get reminders automatically.
- 02Automatic reading and sorting
AI recognises the type of document, pulls out the data you need and puts it in the right client file. A person checks anything unclear.
- 03An assistant for your firm’s procedures
It answers your staff from guidance notes, templates and internal procedures, citing where each answer comes from.
- 04Deadline trackers and a firm dashboard
Work in progress, deadlines, workloads, hours per client: the state of the firm on one page.
- 05Rules for using AI
A usage policy, training and a notice to clients: the Italian AI law (Law 132/2025) requires professionals to be transparent about using these tools. Guide: the AI Act for small businesses.
How it could work
Collecting documents for tax returns, without the chasing.
At the start of tax season each client gets a message with a personal list of the documents needed and a link to their portal. As they upload, the system recognises each document, renames it, adds it to the right file and updates the list of what’s still missing. Anyone who hasn’t uploaded yet gets a polite reminder a few days later.
The firm sees a single view: which files are complete, which are stuck, and why. The time that used to go on chasing goes back into advising clients.
Questions
Professional firms, in practice.
Does the firm’s client data stay confidential?
Yes: servers in Europe, role-based access, and a log of every access and every AI action. For the data we handle on the firm’s behalf, we sign a formal appointment as data processor (Art. 28 GDPR).
Does it work with the firm’s management software?
In most cases, yes: we read from and write to the systems you already use, rather than replacing them. We check this in the initial assessment.
Can the AI assistant get an answer wrong?
It can. That’s why it answers citing the internal source it took the information from, and never decides in place of the professional. It’s a research tool, not a professional opinion.
